Privacy policy
What we process, why, where it lives, and the rights you can exercise.
KimonRecruit is operated by Kimon Services (UK) Ltd, London, United Kingdom, the data controller for the platform, and a processor on behalf of the employers who use it to run their hiring. This notice explains what we process, why, where it lives, and the rights you can exercise.
What we process
- Candidates: your application details, CV, communications with the hiring team, and, where you take one, skills assessment responses and results.
- Recruiters and hiring teams: account details (name, work email), and an audit trail of hiring actions taken on the platform.
- Demographic data (where offered) is always optional, stored separately from your identity, and used only in aggregate for fairness monitoring. It is never visible to hiring teams and never used in any individual decision.
AI on the platform
KimonRecruit generates CV-personalised skills assessments and presents scores as decision support for human reviewers, never as an automated gate that screens anyone out. Every AI-assisted output is reproducible and audit-logged, and we monitor assessments for adverse impact across groups. You are always told when AI is involved, and a human is always accountable for the hiring decision.
Where your data lives
All EU and UK data is processed and stored in the EU. Our infrastructure runs in EU data centres, and AI inference for EU/UK tenants is routed through EU regions only. The full list of sub-processors, with locations and safeguards, is published at /sub-processors.
How long we keep it
Personal data is retained only as long as needed for the hiring process it was collected for, plus the period during which a hiring decision can be legally challenged. Audit records required for legal defensibility are retained in tamper-evident form; when you exercise erasure, your identity is removed from them irreversibly.
Your rights
- Access, rectification, portability and objection: contact us or the employer you applied to, and we will coordinate the response.
- Erasure: candidates can erase their account and data directly at /portal/erase; erasure cascades through every store, including search indexes and backups.
- Reasonable adjustments for assessments: email [email protected].
- Complaints:you can complain to the UK Information Commissioner's Office (ico.org.uk) or your local EU supervisory authority at any time.
